Talent Management Assistant

Right now, we’re looking for a Talent Management Assistant to join our team and play a key role in delivering talent management strategies to support our business growth.   

Position Responsibilities:
The primary responsibility of the Talent Management Assistant is to support the Talent Management team by coordinating company-wide program events and activities, administering employee recognition programs and providing various administrative support.  Specific responsibilities include but are not limited to:  

Learning & Development Programs:

  • Plans, coordinates, prepares materials and executes logistics for company-wide learning programs and events
  • Coordinates off-site meetings to include identifying site locations, establishing facility contracts and shipping/receiving materials

 Succession Management Programs (Talent Review Process):

  • Compiles data from leaders and prepares materials for presentation
  • Coordinates meeting logistics (prints materials, produces binders, sends Microsoft Lync invitations, room reservations, ordering lunch, partners with IT to ensure video conferencing is working, etc.)

 Associate Recognition Programs

Wall of Fame:

  • Orders and manages the distribution of awards and supplies
  • Ships associate awards/bios to where they will be presented
  • Manages vendor to ensure quality service and support according to established SLA

 Milestone Service Awards Program:

  • Program administrator who works with vendor to provide service awards and resolve/ respond to associate inquiries
  • Manages vendor to ensure quality service and support according to established SLA

 Recruitment Activities

  • Supports recruitment activities as additional support is needed, i.e., reserving conference rooms, scheduling executive interviews, preparing/distributing interview itineraries, etc. 

 Team Communication and Support

  • Manages and maintains department budget
  • Creates, maintains and communicates Talent Management team calendar of events and activities
  • Writes and posts department information on team website

 Other Responsibilities:

  • Provides administrative support to the Vice President of Talent Management including but not limited to:
    • Creating PowerPoint presentations
    • Making travel arrangements
    • Managing Outlook calendars
    • Reserving conference rooms
    • Filing expense reports
    • Ordering office supplies
    • Proofreading
    • Sorting mail, sending mail/emails
    • Establishing and maintaining program and employee files/records
    • Assists with a variety of Human Resources related initiatives as needed

 Reports to: Vice President, Talent Management

 Qualifications:

  • 3-5 years of experience in Human Resources, Talent Management, Training, Organizational Development or Leadership Development support required.
  • Superior time management skills with strong organizational, prioritization and multi-tasking abilities with a strong aptitude for attention to detail.
  • Possess a passion for customer service.
  • Ability to work within a fast-paced, ever-changing environment that is learning and results focused.
  • Experience in coordination and planning large company events.
  • Advanced experience in Microsoft Office Suite and Outlook.
  • Superior written and verbal communication skills.
  • Associate’s degree in human resources, training, organizational development or related field preferred.
