Job Description

Our government client is looking for an Intermediate Administrative Assistant for contract of 48 weeks.

 

Tasks:

 

  • Performing administrative tasks such as: managing electronic calendars with precision, managing and drafting correspondence, organizing conference calls, scheduling meetings and boardrooms, and making travel arrangements
  • Providing administrative support to the Director EUS and staff
    • Using software such as MS Word, MS Excel, MS Outlook and MS PowerPoint to create documents and presentations
    • Proofreading, editing, and formatting of documents and presentations
    • Filing and tracking of documents-electronic and hard copy
      • Preparing and tracking of business, contracting, financial and human resources information and requests
      • Maintaining and tracking the Bring Forward (BF) files/issues for the Director or managers
        • Assisting with the production of the reports for the Director and managers, such as weekly status reports and summary presentations
        • Tracking completeness of LOB and directorate's EPMAs and LPs
        • Processing travel expense claims with Travel Axcess
        • Managing filling systems-electronic and hard copy. May require use of RDIMS/E-DRM
        • Conducting research and summarizing information
        • Verifying the monthly financial reports and maintaining financial records for the directorate
          • Assisting with activities for the DCE line of business and director such tracking, drafting documents or responses, special activities, etc.
          • Performing secretariat duties for working groups or meetings; responsibilities include preparation of meeting minutes, action items and agendas.
          • Maintaining learning plans for the group. Monitoring the training budget and registering employees for training
          • Ordering supplies, handling petty cash and taxi chits and tracking other requests in the various departmental systems
          • On occasion, assisting other Directors or other administrative staff within the DCE line of business or the building, on a backup basis

 

Experience: 

  • Minimum of one (1) year of relevant experience is required
  • Demonstrates a minimum of 1 years of experience as an Administrative Assistant to senior management
  • Significant experience (at least 1 years) in using electronic tools including experience with specific software/tools: electronic messaging software (including MS Outlook), word-processing software (including Microsoft Word and Lotus SmartSuite), spreadsheet software (including Lotus 123 and MS Excel), presentation software (including MS PowerPoint), records management software (including RDM1S)
  • Experience (6 months) in human resource, contracting and financial support activities
  • Experience (1 years) in scheduling and organizing meetings, revising a variety of documents and preparing invoices for payment
  • Language requirements: Bilingual Intermediate
  • Security: enhanced clearance
  • Must have recent Federal Government experience in relevant field

Education: 

  • Successful completion of two years of secondary school is required
