Job Description

1. Knowledge of medical records/data management normally acquired by completing three years of
college with a science focus. Registered Record Administrator (R.R.A.) or L.P.N. preferred.
2. Knowledge of Cancer Registry normally acquired by four years of on-the-job experience in addition to
the educational level above. Must be certified Tumor Registrar (C.T.R.) or C.T.R. eligible.
3. Knowledge of computers normally acquired by several varied computer courses or two years
experience with spreadsheet and database software. Strong computer skills are required.
4. Strong organizational skills required. Must be able to implement new systems, and keep several projects
going at one time.
5. Expertise to maintain the Cancer Registry as current and accurate, acting independently. The Registry is
key to an ASC-accredited cancer program for the hospital. This attracts cancer patients to us for treatment,
and affects our ability to contract with managed care companies, to participate in research programs, and
to attract outside funds.
6. Interpersonal skills to interact with physicians, hospital employees, and outsiders in analyzing and
explaining reports, providing information, and coordinating meetings.

7. Interacts with Chair of Cancer Management Committee to set agendas and prepare reports. Prepares
minutes of Cancer Committee; attends and routes sign-in sheet for Tumor Board.
8. Interacts with Tumor Registry Advisor to perform quality control of data in the registry, assuring
adequate staging, case-finding, accessioning, and follow-up. Brings potential quality problems to
physician advisor.
9. Using the Medical Registries system, Harvard Graphics, and other software programs, creates and
validates meaningful reports of data on cancer patients. Checks data for reliability before distribution.
10. Works with other software managers in-house to facilitate the integration of data elements within MRS
to a decision support system.
11. Identifies and accessions all new cancer patients (inpatient and outpatient) to the Registry.
12. Abstracts information from medical records that is used in the Registry to track individual patient
treatment and outcome and to summarize the outcome of groups of patients by treatment modality.
13. Stages each patient's cancer at diagnosis, using the TNM staging system for each site. Also uses
SEERS staging for state reporting; supplements with Duke's for certain sites.
a. Brings a minimum of six records and abstracts each month to the physician advisor for a quality control
check of staging and abstracting.
14. Follows up on patients' progress for the life of each patient. Reviews medical records for further
treatment, contacts physicians (surgeons, family physicians, referring), and contacts other hospitals' tumor
registries. Contacts the patient if the patient has not been seen for over a year, which has the added benefit
of reminding the patient to seek follow-up care. Visits State Department of Vital Statistics to find death
records in order to close out cases and update survival statistics. At least 90% follow-up must be
successfully maintained in order to qualify for ACS accreditation.
15. Interacts with the medical staff to ensure adequate staging of the disease, which is important for
determining optimal treatment modality.
16. Performs reporting to the State Cancer Registry, and interacts with this Registry as needed.
17. Prepares various statistical studies and other reports for the Mount Auburn Hospital Cancer
Management Committee, physicians, Administration, and other requesting individuals or organizations.
Provides survival statistics by site, stage, and treatment modality for use by the Tumor Board Consulting
Service in treating new patients.
a. Recognizes that proper confidentiality of patient information must be maintained at all times. Refers
any unusual patient-specific or aggregate requests to the director.
18. Performs routine quality checks of data in addition to the physician advisor checks on staging.
19. Prepares the annual report of the hospital-wide Cancer Management Program as required by the ACS.
20. Coordinates the quarterly Cancer Management Committee, the weekly Tumor Boards, and the
monthly educational sessions. Maintains the minutes and documentation for each of these.
21. Performs long- and short-term quality assurance studies of cancer patients' management and outcome.
These are required, along with the statistical survival studies, for ACS accreditation.
22. Participates in Tumor Registrars' Association of New England by attending meetings and educational
sessions.
23. Participates in hospital cancer program outreach as needed, including screenings sponsored by the
American Cancer Society.
24. Performs other related duties as required or as directed.
